My 5-Step Process to Identify Repetitive Tasks

Step 1: List Your Daily Activities:

Start by listing down all the daily activities you perform in your marketing efforts. Include everything, no matter how small or insignificant it may seem. This comprehensive list will serve as the foundation for identifying repetitive tasks.

  • While the simple process of creating this list of activities may seem overwhelming, you don’t need to continue forever.  Even one week can detail you a TON of data that will be helpful. For the greatest ease, keep the running list anywhere that you can easily access it – I like to use Notepad on my desktop, or my task management system ClickUp; even notes on your mobile phone can work.
  • For extra insight, jot down how long it takes you as well – 5 minutes, 45 minutes.  This extra data can assist you in determine which tasks that can be automated may make the most sense in freeing up your precious time.
  • A simple way that you can track both the tasks and the time is to group them all into 15-minute blocks. This isn’t quite as effective for tracking those little 5-minute tasks unless you do several in a row; but it can make it easy to track a couple times per hour rather than every couple of minutes. This mix is my favorite.
Step 2. Analyze Frequency and Time Consumption:

Next, analyze how often you perform each task (frequency) and how much time it consumes each time it’s completed. Tasks that are performed daily or weekly and take up a significant portion of your time are prime candidates for automation.

  • If we can automate one hour per week, we have saved you 52 hours per year – enough time for a vacation with the family.
  • If we can automate 30 minutes per day, we have saved you 10 hours per month that you can use to serve more customers.
Step 3: Evaluate the Complexity:

Assess the complexity of each task. If a task is simple and follows a consistent pattern, it’s likely a repetitive task that can be automated. Complex tasks that require human judgment usually are not be suitable for automation – and no, not even with the “artificial intelligence” that we currently have access to … it’s not really designed (yet) to make these types of judgement calls.

Step 4: Consult with Team Members

If you have team members, you should ask them to also follow Step 1, for a length of time that you believe will provide you with the data you need. Then consult with them to understand their daily routines and identify any repetitive tasks they perform. Sometimes, an outside perspective can shed light on tasks you might have overlooked.

Step 5: Prioritize Based on Impact:

Finally, prioritize the identified repetitive tasks based on their impact on your business. Anything that does not require YOUR personal touch in your business should be fair game to either automate, or delegate, so that you can remain in your “zone of genius”. Focus on automating tasks that will free up the most time or have the most significant effect on customer engagement or other key metrics.
