20 Essential iOS Shortcuts for the Busy Entrepreneur

Is the secret to saving valuable time right in the palm of your hand? For me, it’s a resounding YES.

One of my favorite things to do is find ways to use technology to make the use of my time more efficient. This was critical during the days of solo entrepreneurship, and while you would think it wouldn’t be as pressing for an entrepreneur with a small team, it still is – your focus just shifts slightly from doing to managing.  

One of my favorite pieces of technology is the “Shortcuts” app that comes standard on the iPhone.  Here’s a list of ways that the busiest entrepreneur can use this Shortcuts app to save some time in their day, week, month, year. (And these tips can work for Android too … brief info about that app is below as well).

How to Use iPhone’s Built In “Shortcuts” App for Busy Entrepreneurs

Here’s my list of favorite ways for an entrepreneur to use the Shortcut app to their advantage. This app is likely already installed on your phone. Best of all, while you do need to set the shortcut up one time, and then simply use it when needed (and for some, you set it up as an automation and never need to do anything with it again).  I’ve estimated that the average times savings for an entrepreneur who uses these tips below could be around 10.5 hours weekly … which means you can get another whole week out of your work month, or over 500 hours a year – which is an amazing amount of time that you can instead focus on your family!!!

What a great way to free up time so that you can stay in your Zone of Genius.  Not to mention find extra hours for time with family, friends, and creating memories.

TIP:  remember to rename your shortcuts and automations so that you can find them easily if you need to edit later. You can do this by pressing and holding after it’s created. Otherwise you have to look at ALL of them, which really wastes the point of doing this work 😉

1. Seamless Integration with Calendars and Reminders

Upcoming Agenda

  • Link with the Calendar app to receive a breakdown of your day’s meetings and tasks automatically every morning. This can be sent as a notification or even spoken out loud to you.
  • How to: Shortcuts > Automations > + New Automation > (Choose when it triggers, such as time of day) > Add Action > Apps > Calendar

Quick Meeting Setup

  • Create a shortcut to quickly schedule a meeting in your calendar, and then automatically send invites to the attendees via the Mail app.
  • How to: Shortcuts > Shortcuts > + New Shortcut > Add Action > Apps > Calendar > Schedule Meeting
 

Use case: Imagine you're running between back-to-back client meetings and you need to set up another urgent meeting for the next day. With the 'Quick Meeting Setup' shortcut, you could simply tell Siri, "Schedule a meeting for the XYZ project," and your device handles the rest. It pulls up your calendar, finds the next available slot, creates a meeting, and even sends out invites to all project members. This saves you from having to manually check everyone's availability and ensures that no time is wasted in getting everyone aligned for an important project discussion.

2. Optimize Email & Messaging

Email Templates

  • Draft commonly used email templates. With a single tap, populate a new email draft in the Mail app using one of these templates.
  • How to: Shortcuts > + New Shortcut > Add Action > Apps > Mail

Scheduled Messages

  • Set up shortcuts to send predefined messages to specific contacts on a regular basis. Great for sending timely reminders or recurring updates to team members or clients.
  • How to: Shortcuts > Automations > + New Automation > Add Action > Apps > Mail > Send Message 

Use case: I like to use this one to automatically send weekly emails touch base with the team and remind them to update their time documents. While I could achieve similar with my task management system, not all of the team are included in that system, so this quick email ends up working better for this need.

3. Web & Research Efficiencies

Open Daily Websites

  • Automatically launch Safari and open a set of predefined websites you visit every morning, such as analytics dashboards, task system, or news outlets.
  • How to: Shortcuts > Automations > + New Automation > Add Action > Web > Open URLs

Quick Definitions

  • Instantly look up a definition or synonym for a word copied to the clipboard using apps like Dictionary or Thesaurus.
  • How to: Shortcuts > + New Shortcut > Add Action > Web

4. Connect with Note-taking Apps

Quick Note Creation

  • Set up a shortcut that instantly opens a new note in your preferred note-taking app like Notes, Notability or Evernote. It seems like it would take just as long as opening the note app and creating a new note … but it’s actually a bit quicker.
  • How to: Shortcuts > + New Shortcut > Add Action > Apps > Notes

Voice Memo Transcriptions

  • Record a voice memo and have it transcribed and saved into your Notes app. While you can dictate in Notes, some people prefer to use the voice memo – such as when contacting a prospect – but also like to have a text transcript for the team or CRM.
  • How to: Shortcuts > + New Shortcut > Add Action > Apps > Notes > Transcribe Audio

5. Advanced Task Management with Third-party Apps

Trello or Asana Integration

  • Create tasks or cards in project management apps like Trello or Asana with predefined templates or voice commands.

6. Harnessing the Power of Siri

Custom Siri Commands

  • Create custom voice commands for Siri to run specific shortcuts, making hands-free operations even smoother. To run these shortcuts, you won’t even need to be touching your phone, which makes it even easier!

7. Multimedia & Social Media

Quick Image Resizing

  • If you frequently post on different platforms, set up a shortcut to resize an image to specific dimensions optimized for each platform.

Automated Social Media Posts

  • Integrate with apps like Buffer or Hootsuite to schedule or instantly share posts across multiple platforms.

Document Backup

  • Set up a shortcut to back up specific types of documents to iCloud Drive, Dropbox, or Google Drive. This can be especially useful for saving receipts or invoices on-the-go.

Workout Starter

  • With one tap, start a specific workout in the Health or Fitness app, begin playing a specific playlist, and activate Do Not Disturb mode for uninterrupted workouts. Yes, you can chain these together!

Complex Automations with AppleScript

  • For those with scripting knowledge, the Shortcuts app allows you to integrate AppleScript to create more complex automations and workflows that involve multiple apps.

11. Financial Health Tracker

Budget and Expense Tracking

  • Create a shortcut that compiles expenses and revenues from various apps and sends a weekly financial health report.

  • Automate ‘Do Not Disturb’ modes to ensure quality family time or personal hours are not interrupted. After years of working at a job where I had to be on-call 24/7, I have this turned on to automatically set DND for overnight hours, since my brain was too trained to listen for any 2am calls!

Daily Affirmation

  • Set a shortcut to receive a daily notification with your business vision or a motivational quote to stay aligned with your purpose. Some days we need this more than others, and having that reminder as you start your day can really make a difference.  (I combine this with some of the others from above).

Success Tracker

  • Automate a weekly pop-up that reminds you to jot down successes and milestones, no matter how small, to reflect on progress. It also helps when you want to do a year in review for your business or position, to have these notes to refer back to and celebrate the wins along the way.

  • Create a shortcut to prompt you at a set time each week to document key decisions made, the rationale behind them, expected outcomes, and a date to revisit.

  • Integrate with your CRM and generate a daily or weekly snapshot of your sales funnel stages.

This shortcut can pull the latest data from your CRM, like HubSpot, showing you how many prospects are in each stage of the funnel—from initial contact to closing the deal. It helps you quickly identify bottlenecks and take action to guide potential customers along the buying journey, ensuring you don't miss out on crucial follow-ups or engagement opportunities.

Remember, if you want something to recur automatically on a set schedule, use the “Automations” tab. If you simply want a shortcut to a repetitive task, use the “Shortcuts” tab. You can also have fun exploring the “Gallery” tab for some prebuilt options.
